When this fits

Use this when Drive is working, but collection is not.

These are potential operational uses for a focused document intake workflow. They are not real deployment stories or measured results.

Recipients cannot or should not use a staff Drive folder
File upload forms create sign-in friction
Email attachments create too many copies
Staff need a PDF summary beside uploaded files
The team wants a narrow intake workflow instead of a broad portal
Likely workflow

From request packet to approved Drive delivery

The intake path stays specific: protected access, guided completion, scan-before-delivery, and Drive handoff.

1. Map the request to Drive

Staff choose the destination folder during setup and keep downstream review inside the organization workspace.

2. Send protected access

The recipient gets a request link and a separate access code instead of a shared folder invitation.

3. Collect answers and documents

The flow can gather required answers, acknowledgements, signatures, and files in one packet.

4. Route clean files

After scanning, clean uploads and the PDF summary are delivered to the approved Drive folder.

Potential use case

A Drive-first clinic removing shared-folder confusion

Fictional composite: A small clinic keeps operational files in Google Drive, but recipients struggle with shared folders and file-upload forms. The clinic uses PHI Uploader as the front door for document collection while keeping Drive as the staff review space.

Fictional composite
Recipient upload does not require Google sign-in.
Staff can keep using their existing Drive workflow.
The product stays focused on intake handoff, not full portal replacement.

What this does not replace

Google Workspace administration
Drive sharing policy and access review
EHR or patient portal capabilities
Clinical record retention decisions

Security and readiness

Workspace BAA attestation
Approved Drive account and destination folder
Separate request link and access code
Scan-before-Drive delivery
Audit trail for request and delivery events
Review fit

Start with one document workflow

Bring one packet or upload path. PHI Uploader can be reviewed against your BAA, Workspace, Drive, and launch readiness needs before production PHI workflows.
