When this fits

Use this when ABA onboarding depends on scattered document follow-up.

These are potential operational uses for a focused document intake workflow. They are not real deployment stories or measured results.

Caregiver intake answers and signed acknowledgements
Insurance cards, IDs, authorizations, and Medicaid documents
Diagnostic evaluations, IEPs, referral notes, and school records
Repeated staff follow-up around missing files
Google Drive handoff after intake review
Likely workflow

From request packet to approved Drive delivery

The intake path stays specific: protected access, guided completion, scan-before-delivery, and Drive handoff.

1. Staff builds one packet

The team selects required questions, requested documents, signatures, and the approved Drive destination.

2. Caregiver receives link and code

The request link and access code can be shared separately, without creating a portal account or Google login.

3. Files and answers are submitted

The caregiver completes the packet from a phone, tablet, or computer and receives a reference after submission.

4. Clean files route to Drive

Uploaded files are staged privately, scanned, and delivered with the generated PDF summary to the approved folder.

Potential use case

A small ABA intake team replacing inbox follow-up

Fictional composite: An ABA intake coordinator needs the same caregiver packet before scheduling the next onboarding step. Instead of asking for attachments across several email threads, the team sends one protected request and tracks whether each requested item was submitted and delivered.

Fictional composite
Caregiver does not need a Google account.
The packet can include signed acknowledgements and required upload items.
The organization keeps its downstream review process in Drive.

What this does not replace

EHR or practice-management records
Scheduling, billing, claims, or authorization management
Emergency messaging or care coordination
The organization HIPAA program, workforce training, access reviews, or Drive permissions

Security and readiness

BAA review before production PHI workflows
Google Workspace BAA attestation
Organization-approved Drive destination
Access-code protected links
Private staging, malware scanning, audit events, and raw-answer purge
Review fit

Start with one document workflow

Bring one packet or upload path. PHI Uploader can be reviewed against your BAA, Workspace, Drive, and launch readiness needs before production PHI workflows.
